The Role

The University of Manchester (UoM) Integrated Clinical Academic Training (ICAT) programme facilitates and supports the academic development of postgraduate clinical (Medical) trainees who aspire to follow a clinical academic career path. The ICAT programme is delivered as a partnership between UoM and NHSE and is overseen by the National Institute for Health & Care Research (NIHR) which has responsibility for ‘Integrated Academic Training’ nationally and for the allocation of funding to support ICAT programmes. Funding from the NIHR supports Academic Clinical Fellow (ACF) and Clinical Lecturer (ACL) posts which are awarded annually to the UoM ICAT programme. Many of the alumni from the UoM ICAT programme have progressed to key clinical and research leadership roles in MAHSC and the BRC. The post will be located within Planning, Compliance and Governance in the Faculty of Biology, Medicine and Health (FBMH) at UoM.

The post holder will support the ICAT Co-ordinator in the administration support for the ICAT programme from the initial recruitment of ACFs and ACLs until trainees exit the programme.

Key Accountabilities

• To maintain the professional image of ICAT at all times and to perform the duties of the role with a strong service delivery ethos

• To use a range of IT systems, (MS Office including MS Access, eProg, Oracle Financials, Key Travel) to support the team’s activities

• To assist with the coordination and logistics of delivering large scale conferences and events associated with the programme

• To support the ICAT Co-ordinator with monitoring the team inbox and providing information and advice to prospective and current ACFs/ACLs as well as academic, clinical and professional services (PS) staff connected with the ICAT programme

• To maintain and update record systems with information about each ACF and ACL appointee to enable reporting on important information such as maternity leave, extensions, next destination etc

• To support the ACF Research Training Programme by advertising workshops, monitoring attendance and producing attendance certificates

• To support ACF and ACL academic review process by monitoring submissions and filing forms on shared drive

• To support the ICAT Bursary account – checking claim forms, adding receipts and expenditure codes, recording expenditure on the database, and sending to ICAT Co-ordinator to approve

• To monitor registrations and update trainee records with approved use of funding towards Research Training support both at The University of Manchester and externally

• To support trainees with UoM access (IT accounts and honorary contracts for ACFs and foundation trainees)

• To coordinate, produce and distribute a ICAT quarterly newsletter

• To attend ICAT weekly meetings, Operations group meetings and other relevant regional and national ICAT meetings to keep up to date with relevant and useful information

The Person (Essential)

• Experience of relevant administrative work in a busy office environment

• Excellent communication skills (written and oral), demonstrating an ability to deal with a wide range of people

• Flexible and responsive to customer needs and able to provide information and guidance whilst maintaining confidentiality

• Excellent organisational skills, and able to prioritise work in a busy environment and meet strict deadlines

• Experience of working in a team environment and able to support colleagues in the delivery of objectives

• Demonstrates accuracy and attention to detail

• Demonstrates numeracy, analytical and problem-solving skills and the ability to identify problems and resolve issues effectively
